Planning Your AGM.
It is important that on or around the anniversary of your branches creation, you hold a meeting (an Annual General Meeting or AGM) to engage all your stakeholders. This can be online or as an in-person event.
This means that in addition to regularly staying in touch with the BOVF throughout the year, at the end of each year, you have the opportunity to work with BOVF to compile a brief yet comprehensive report that reflects on your branch’s development, highlights key achievements, and outlines future goals.
This report is invaluable for evaluating the branch’s impact, ensuring alignment with the broader BOVF mission, and planning for the year ahead.
Begin by recapping your branch’s development over the past year. This should include an overview of membership growth, key events, campaigns, and advocacy efforts undertaken by the branch.
Highlight successes, such as significant increases in participation, successful local events, or contributions to global campaigns.
You might use data—such as attendance numbers, member feedback, and social media engagement—to provide a clear picture of your progress.
Next, reflect on any challenges faced and lessons learned.
This could involve difficulties in member engagement, outreach strategies that did not go as planned, or logistical issues with event organization.
Discuss how the branch adapted and overcame these challenges or how you plan to address them moving forward.
Finally, outline future goals and plans for the coming year.
This should include specific, measurable objectives such as membership targets, plans for upcoming events, or participation in new BOVF campaigns.
This section will ensure that your branch remains focused on its long-term vision while continuing to contribute meaningfully to the broader goals of the BOVF.
By providing this annual report, your branch demonstrates its commitment to transparency, accountability, and continuous improvement, ensuring that both local and global BOVF efforts remain aligned and impactful.
This report should only contain information which you as a branch is happy for all members to see as part of your Local Branch Annual General Meeting (AGM).
As mentioned, the compiling of this report can be done with support from BOVF who will be happy to help you create this report. It does not have to be long and complex, but have enough information for anyone who reads it to see a snapshot of your activities.
